1. Information We Collect
Account Information
When you create an account, we collect your name, email address, and a hashed password. We never store your password in plain text.
Profile Information
You may optionally provide additional profile details such as a phone number, date of birth, location, bio, and profile photo. These fields are voluntary.
Usage Data
We collect anonymized IP addresses and user agent strings to operate the service, detect abuse, and troubleshoot errors. IP addresses are truncated before storage and are not used to identify individuals.
Event Participation
When you register for or attend events, we collect RSVPs, ticket orders, and any answers you provide to event registration form questions. The information requested in registration forms is determined by the event organizer and may include fields such as dietary preferences, accessibility needs, or t-shirt size.
Communications
We store your notification preferences (e.g., which types of emails you have opted into or out of) so we can respect your communication choices.
2. How We Use Your Information
- Service operation: To create and manage your account, process event registrations, and provide the features of the platform.
- Transactional emails: To send confirmations, reminders, and updates related to events you have registered for or are organizing.
- Attendee management: To allow event organizers to view and manage the list of attendees for their events, including registration form responses.
- Security and fraud prevention: To detect and prevent unauthorized access, abuse, or violations of our Terms of Service.
3. Information Sharing
We do not sell, rent, or trade your personal information. We share data only with the following service providers, to the minimum extent necessary to operate the platform:
- Resend (email delivery): Receives the recipient email address, name, and message content in order to deliver transactional emails on our behalf. Resend Privacy Policy
- Google / GitHub (OAuth sign-in): If you choose to sign in with Google or GitHub, those providers share basic profile information (name, email, profile picture) with us during authentication. We do not receive your password from these providers. Google Privacy Policy · GitHub Privacy Policy
- Cloudflare (infrastructure):All application data is hosted on Cloudflare's global network, including Cloudflare Workers, D1 (database), R2 (file storage), and KV (key-value store). Cloudflare processes data as a data processor acting on our behalf. Cloudflare Privacy Policy
We may also disclose information if required to do so by law, or to protect the rights, property, or safety of WMI, our users, or others.
4. Your Rights
Access and Portability
You can download a copy of your personal data at any time from Settings → Privacy.
Deletion
You can permanently delete your account and all associated data from Settings → Security. Account data is purged within 30 days of deletion.
Correction
You can update your profile information at any time from your account settings.
Unsubscribe
Every marketing and notification email includes an unsubscribe link. You can also manage your notification preferences directly in Settings.
California Residents (CCPA)
California residents have the right to know what personal information is collected, the right to delete personal information, and the right to opt out of the sale of personal information. We do not sell personal information. Contact us at info@wallacemccaininstitute.com to exercise these rights.
Canadian Residents (PIPEDA)
Canadian residents have the right to access and correct their personal information held by us. To make a formal access or correction request, contact our privacy officer at info@wallacemccaininstitute.com.
5. Cookies and Local Storage
Session Cookies
We use strictly necessary session cookies to maintain your authenticated session. These cookies are essential for the service to function and cannot be disabled.
Local Storage
We use browser localStorage to store UI preferences such as dark mode settings and layout choices. This data never leaves your device and is not transmitted to our servers.
No Tracking or Advertising
We do not use third-party tracking cookies, advertising cookies, or analytics services that share data with third parties.
6. Data Retention
- Active account data is retained for as long as your account is active.
- Deleted account data is permanently purged within 30 days of account deletion.
- Audit logs may be retained for up to 7 years to satisfy legal and compliance obligations.
